How We Work
Estimates and Contracts

Every project begins with an estimate based on the information available when we quote. Our estimates may clearly outline the scope of work, products to be used, and pricing for the agreed-upon services.
Where possible, estimates include:
Scope of work
Surfaces to be painted
Preparation included
Paint products and finish (if known)
Project exclusions
Estimated pricing and Payment terms
If additional information becomes available after the estimate is prepared, revisions may be required before work begins.

Work is scheduled once the estimate has been accepted by the homeowner, contractor, or authorized representative. Acceptance of the estimate confirms approval of the proposed scope of work, pricing, and applicable terms and conditions.

Depending on the size and nature of the project, work may proceed under:
An accepted written estimate
A signed contract
A purchase order (PO)
A master service agreement or subcontract
The accepted project agreement serves as the governing document for the project and outlines the agreed scope of work, pricing, payment terms, and project-specific conditions.

To help ensure a smooth project, we ask that:
Work areas are ready for painting on the scheduled start date.
Site access is available as arranged.
Colour selections are confirmed before work begins.
Other trades have completed work that may impact painting, unless otherwise coordinated.
Delays caused by site conditions, incomplete work by other trades, restricted access, or changes requested after scheduling may affect project timelines.

We encourage open communication before and throughout the project. If anything in the estimate or project agreement is unclear, please contact us before work begins. We're happy to answer questions and ensure everyone has the same expectations from the start.
Communication and Scheduling

Clear communication helps keep projects on schedule and minimizes delays. The following outlines our scheduling process and the information we require before work begins.

Once your project has been approved, please notify our office as soon as possible so we can reserve a tentative place in our schedule. Projects are initially scheduled based on your anticipated construction schedule, Work Breakdown Schedule (WBS), or proposed project timeline. While we make every effort to accommodate requested dates, all start dates remain tentative until they are confirmed.

Approximately 4 to 8 weeks before the anticipated start date, we will contact you to confirm that the project is progressing as planned. At this time, we will:
Confirm the anticipated start date.
Discuss any changes to the construction schedule.
Begin final planning for your project.
Once confirmed, we will assign your project to our crew schedule.

About 4 weeks before your scheduled start date, we will complete a final project review to ensure everything is ready for our arrival. This may include confirming:
Paint colours and specifications
Scope of work, if changed
Scheduling details
Site access information
Washroom availability (where applicable)
Any outstanding project information

Construction schedules can change, and we understand that flexibility is often required. If your project timeline changes, please notify our office as soon as possible. Providing early notice allows us to adjust our schedule with minimal disruption. Please note that significant or last-minute scheduling changes may affect crew availability and could result in a revised start date.

Before our crew arrives, please ensure the work area is ready for painting. This typically includes:
Drywall finishing and sanding completed
Other trades completed in areas scheduled for painting
Work areas are clean, accessible, and free of obstructions
If the project is not ready upon arrival, work may need to be rescheduled, which could affect the overall project timeline.

Living and working in the Comox Valley means weather can significantly affect construction schedules, particularly for exterior painting projects. At Dove Creek Painting Ltd., we are committed to delivering a quality finish that meets manufacturer specifications. For this reason, we will never compromise workmanship by painting in unsuitable weather conditions.
Safety First
The safety of our employees, clients, and trade partners is our highest priority. If weather conditions create an unsafe working environment or may negatively affect the quality of the finished product, we may postpone work until conditions improve.
Scheduling Adjustments
We understand that construction schedules are carefully coordinated, and we appreciate the challenges that weather-related changes can create. Our team will always communicate proactively, work collaboratively with your project team, and make every reasonable effort to keep your project moving. While we make every effort to maintain the agreed project schedule, weather-related delays are sometimes unavoidable. If weather impacts our ability to begin or continue work, we will monitor weather conditions closely and communicate any anticipated delays as early as possible. We will coordinate revised scheduling with the contractor or project contact and return to the site as soon as conditions safely allow.

At Dove Creek Painting Ltd., safety is a shared responsibility. We are committed to maintaining a safe, respectful, and professional work environment for our employees, our clients, and every trade partner we work alongside.

Dove Creek Painting Ltd. is registered with WorkSafe BC (WCB) and maintains coverage in good standing. We comply with all applicable WCB regulations and are committed to following safe work practices on every project. Dove Creek Painting Ltd. also carries comprehensive commercial liability insurance to help protect our clients, trade partners, employees, and the projects we work on. We can provide proof of insurance and WCB clearance upon request.

Our team is equipped with and expected to wear appropriate personal protective equipment (PPE) based on the work being performed and site-specific requirements.

Our crews will follow all applicable site-specific safety policies and procedures. We ask that contractors provide any required site orientations, hazard information, access procedures, or safety requirements before work begins to help ensure a safe and efficient project for everyone involved. If our team identifies a safety concern or hazard, we will report it promptly to the site supervisor or designated contact. Work may be paused if necessary until the hazard has been addressed and it is safe to proceed.
Change Orders

Any work requested outside the original accepted estimate or contract will be treated as a change order. No work outside the agreed-upon scope will be completed without authorization from the homeowner, contractor, or designated project representative. Approved change orders will be documented and reflected on the final invoice for your records.

Additional coats beyond the original scope

Dove Creek Painting Ltd. will:
Review the requested work.
Advise of any impact on the project schedule.
Provide updated pricing when applicable.
Obtain approval before completing the additional work.
Invoicing and Payment

Final invoices are issued once the project has reached substantial completion and the following have been completed:
All contracted painting work has been completed.
All identified areas and items included in the project scope have been painted.
A final walkthrough has been completed with the homeowner, contractor, or designated site representative (where applicable).

Any touch-ups identified during the final walkthrough will be documented and scheduled as needed. Minor touch-ups are considered part of our quality assurance process and will not delay invoicing.
If additional work outside the original project scope or significant corrective work is requested, it will be quoted separately and will only proceed after pricing has been communicated and approved.

Payment is due in accordance with the terms outlined in your signed estimate, contract, or project agreement.

Unless otherwise agreed upon in writing, Dove Creek Painting Ltd. will supply all paint, coatings, and materials required to complete the project in accordance with the accepted estimate or contract. If the homeowner or contractor will supply any materials, confirm this before work begins.

For larger projects, progress invoices may be issued at agreed-upon project milestones. These are typically issued at approximately 25%, 50%, and 75% completion. Progress draw schedules may vary depending on the size, duration, and scope of the project and will be outlined before work begins.
Quality and Satisfaction

Before we consider a project complete, we encourage a final walkthrough with the homeowner, contractor, or designated project representative. This gives you an opportunity to identify any areas needing minor touch-ups or adjustments before we close the project. If you have questions or concerns regarding the quality of our workmanship, please contact us as soon as possible so we can review the issue and determine an appropriate resolution.

Our commitment to quality applies to the workmanship performed by Dove Creek Painting Ltd. It does not extend to damage or conditions beyond our control. This includes, but is not limited to:
Damage caused by moving furniture, equipment, or appliances after project completion.
Impact damage, scratches, dents, or other accidental damage.
Damage caused by other trades or third parties.
Normal wear and tear.
Structural movement, settling, moisture intrusion, or building deficiencies.
Failure of previously existing coatings or substrates.
Areas modified, repaired, or repainted by others after project completion.
